CrossChex Cloud supports two shift modes: Fixed Schedule & Weekly Flexible. Only one shift mode can be used for a Cloud account. So, you need to know which one fits your requirements before creating a shift.
Notes:
1. Since the calculation of each mode is totally different, we don't recommend switching shift mode once the shift mode is confirmed and the report is generated. If you have to switch it, there could be errors in the report.
How to choose Shift Mode? Which one fits you?
You can choose or switch shift mode in Settings > General.
Fixed Schedule:
A fixed schedule should be implemented when working days and working hours of a day are predetermined and the employees need to be punctual.
For Example: Mondays - Fridays from 9:00 am to 5:00 pm
Weekly Flexible:
A flexible schedule should be adopted when the specific timing of work can vary throughout the day, as long as the total weekly working hours are met.
For Example:
Mondays - Fridays, 40 hours per week
- Fixed shifts are set schedules where employees only work mornings, nights, days or weekends. Their shift doesn't change unless they communicate with their employer about different scheduling needs.
- A flexible work schedule allows employees to vary their arrival and/or departure times as long as the total weekly working hours are met.
Fixed Schedule
The procedure of creating a fixed shift:
1. Enter Attendance > Shift.
2. Click “Add” and a window will prompt.
3. Input "Shift Name" and set up "Duty on time" and "Duty off time".
4. If it's a night shift, "Split Timesheets" needs to be set. Click to check How to set up split timesheets?
5. Set colors to represent and distinguish shifts.
6. Set up more rules according to your needs by clicking "Show More Options".
7. Click “Confirm” and then the new shift is added successfully.
***About "Show More Options"***
1. Tolerance rules: Time of Late Punch in Allowed ( ) Minutes, Time of Punch Out Early Allowed ( ) Minutes
Allow employees to be a few minutes late/early to off, don’t calculate into attendance records.
2. Without Punch Out Mark As Exception/Leave Early/Absent:
When the employee clocks in but does not clock out, the system can consider it as an Exception, a Duty off early or an Absent event in the system.
3. OT rules: Early Punch in as OT ( ) Minutes, Later Punch Out as OT ( ) Minutes
Overtime hours will be calculated ( ) minutes earlier than Duty on time/later than Duty off time.
4. Rules of breaks.
Break Button: Active or not.
Threshold ( ) Hours: The minimum amount of time someone needs to work in a day for deduct break time.
Start Time & End Time: Setup break start/end time slots to have more control over how long & when breaks are taken.
Break Duration: The actual/longest break period. Decimal can be input.
*For example*
Start time 11:00, End time 15:00, Break duration 2 hours means
It allows users punch from 11:00 to 15:00 and they have 2 hours break. Users should punch at least twice during 11:00-15:00. In this case, it counts as 2 hours if the user takes a break for 2 hours or less than 2 hours, while it counts the time interval if more than 2 hours.
If a user punches only once during the break, it counts the break time as the time interval between the punch time and the end time.
If a user doesn't punch during the break time, it counts the hours between the start time and end time which is 4 hours.
Weekly Flexible
The procedure of creating a flexible shift:
1. Enter Attendance > Shift.
2. Click “Add” and a window will prompt.
3. Input "Shift Name", "Total Hours" and "Minimum Working Hours(mins)".
4. Set colors to represent and distinguish shifts.
5. If it's a night shift, "Split Timesheets" needs to be set. Click to check How to set up split timesheets?
6. Click “Confirm” and then the new shift is added successfully.
